About the Role

The Project Coordinator works across the CPMO, supporting project teams directly to ensure that publication is timely and on budget, and that best practices are adhered to. This role plays an integral part in the publishing process and requires interaction with all departments and stakeholders at all levels, both internal and external. The PCs work closely with Project Managers to assist teams through high activity periods as well as handling routine reporting and scheduling to ensure that spend and progress match targets.

Key tasks:

  • Manage the supplier engagement process for hiring managers from request through to successful access to business systems, troubleshooting with the PSL and system teams until the supplier is into required systems.  
  • Supply employability checks and maintain compliant employability records to facilitate the Supplier Engagement Process.  
  • Utilize reporting tools to support colleagues with routine and ad-hoc reporting needs.
  • Manage project budgets in S4P: uploads, reallocations, extension, releases; tracking and analyzing budget spends.
  • Manage updates to the master dashboard, ensuring that project spaces are up-to-date and aligned with the master dashboard in advance of key meetings.  
  • Actively monitor overdue tasks in project plans and send out reminders to owners on behalf of the PMs. 
  • Contribute to the wider Macmillan Education group by taking part in cross-departmental projects and initiatives. 
  • Liaise with Customer Services to track and resolve customer queries. 
  • Maintain metadata on the publishing list, with support from Marketing and Publishing. 
  • As required, ad hoc content development work (correction checks, image tagging, for example) as required to help teams meet their delivery targets.

Experience, Skills & Qualifications: 

Essential:

  • Project Management: Strong skills in coordinating projects, working with schedules and monitoring timelines, and ensuring project completion within budget. 
  • Problem-Solving: Proficiency in troubleshooting and resolving issues, particularly in supplier engagement and system access. 
  • Data Management: Expertise in maintaining accurate records and utilizing reporting tools for analysis and monitoring. 
  • Stakeholder Communication: Excellent ability to interact and collaborate with diverse stakeholders, both internal and external.
     

Desirable:

  • Cross-Functional Collaboration: Experience working on cross-departmental projects and initiatives, enhancing overall operational efficiency. 
  • Industry Knowledge: Familiarity with the publishing industry, including key processes and best practices. 
  • Technical Proficiency: Competence with digital tools and systems related to project management and publishing. 
  • Attention to Detail: Strong attention to detail, particularly in reviewing content for consistency and accuracy.
