Job Title: GGA/Facilities Manager The Netherlands & France

Location: Dordrecht - Hybrid Working Model

About the Role

To ensure organization and execution of Global General Affairs (GGA)/facilities management and other site related activities and procedures in the assigned locations, to create and maintain an engaging, efficient and safe working environment for employees. This is to be done for all locations of Springer Nature in the Netherlands (currently 4 locations – Dordrecht, Utrecht, Groningen & Amsterdam) and in France (currently 1 location - Paris).

Role Responsibilities:

  • Develops, implements and maintains the Dutch and French GGA policies and procedures in order to meet the business needs of the organization
  • Negotiates price, quality and quantity of external GGA service suppliers (e.g. maintenance, cleaning, security, catering) and office supplies for the assigned office locations, and monitors that the agreed service levels are met
  • Ensures that the offices are well maintained to ensure a safe and pleasant working environment
  • Day-to-day management of the Dutch facilities department to ensure satisfactory service standards for all assigned locations
  • Coordinates facilities management activities in all assigned Springer Nature locations including the management of external service providers
  • Collaborates with and assists the appointed Senior Managers (Location Leads) in each location on site related initiatives and events
  • Ensure costs are managed within approved budgets and where necessary solutions are sought to deliver any budget reductions.
  • Lead the preparation of Business Continuity Plans and associated documentation for their assigned sites and contribute to the BCP’s for local teams as and where needed.
  • Review, code and approve invoicing generated from GGA NL facilities activities ensuring that invoicing is accurate and that services and or assets have been delivered
  • Energy Reporting – Provide energy consumption data in line with the requirement of regular Responsible Business Reporting and CSRD reporting requirements
  • Support and drive forward sustainability initiatives for their assigned locations (including working with the Green Impact Networks that may exist in their area)
  • Manage the administration of the company’s car fleet in The Netherlands in line with the appointed car fleet management company.  Manage vehicle lease procurement, renewal and return.  Driver liaison for parking/speeding fines and incident escalation. Car Fleet Management Company Service Review. Invoice Review and Approval
  • Takes on special projects in relation to General Affairs / Facilities Management when needed, e.g. office relocation, office upgrades, lease transactions (including negotiating directly or indirectly via appointed local brokers with landlords), disposal of surplus office space

Experience, Skills & Qualifications:

Essential

  • Relevant education at HBO/Academic level
  • At least 3-5 years working experience in a similar type of managerial position, preferably within a Facilities Management/Health & Safety/General Affairs environment
  • Good command of the Dutch and English language in word and writing.

Desirable    

  • Good command of the French language in word and writing.
